POSITION PURPOSE

 

The school support specialist performs a large variety of duties to support day-to-day school operations. The employee often serves as the primary brand representative to visitors and guests; as such, he/she is expected to possess and consistently demonstrate a high degree of professionalism and customer service to all. The employee must be able to navigate and prioritize multiple tasks and readily adapt to a dynamic, technology-rich environment. The school support specialist must be able to work effectively as a member of a high performing team. The ideal candidate will be a motivated, dynamic self-starter with previous experience at the school or district level.



ESSENTIAL DUTIES & RESPONSIBILITIES

 

Financial Accounting Support

  • Prepares purchase orders for approval according to established practices and procedures
  • Verifies that quantity and cost amounts match on purchase orders, receipts and invoices
  • Manages inventory of equipment

 

Student Accounting Support

  • Maintains aspects of student records in PowerSchool, such as attendance and contact information
  • Handles student check-in/check-out and changes to student transportation needs as they occur
  • Locates students throughout the day according to student schedules available within PowerSchool

 

Communications and Clerical Support

  • Effectively represents NEAAAT to various on- and off-campus groups including the faculty, media, student government, employers, and/or the general public
  • Operates a variety of standard office equipment
  • Answers incoming phone lines and establishes need of callers in order to refer them to the appropriate team member for service
  • Screens inquiries and incoming materials and determines to whom to route for attention
  • Locates, identifies and communicates appropriate and accurate information
  • Prepares reports, letters, and other forms of documentation
  • Transcribes from audio files 
  • Prepares and processes various forms, such as travel forms, workshop requests, and leave forms
  • Assists with event scheduling and appointment scheduling for school administrators
  • Composes narrative materials giving readily available data and/or established information
  • Sets and maintains files, including electronic files, for a moderate number of subjects

 

Other

  • Oversees all internal communications and processes pertaining to external driver’s education program opportunities 
  • Operates and manages the school breakfast program and the student store
  • Monitors student behavior during lunches and at other times as assigned
  • Provides input regarding increasing effectiveness and efficiency of routine processes and procedures
  • Contributes as a member of a high performing team
  • Demonstrates personal commitment to professional growth through participation in professional learning activities 
  • Performs other duties as assigned and as necessary to fulfill the day-to-day needs of the school

QUALIFICATIONS

 

Knowledge, Skills, Abilities

  • Ability to work effectively in a collegial, team-centered environment

  • Excellent organizational skills and communication skills, both written and oral
  • Understands the critical nature of building positive working relationships with students, parents and colleagues
  • Ability to leverage technologies to maximize efficiency and effectiveness
  • Working knowledge of basic accounting techniques, typical office practices and procedures
  • Ability to work with a high degree of accuracy 
  • Knowledge of PowerSchool, student accounting procedures and regulations or ability to acquire and demonstrate such knowledge within 30 days of employment
  • Considerable knowledge of word processing software, spreadsheets, and databases
  • Ability to lift at least 50 lbs and maintain a current driver’s license 

 

Education, Training, Experience

  • Associate degree from an accredited college with a concentration in accounting, business, or related field preferred; high school diploma required
  • Previous work experience in school bookkeeping, school recordkeeping, customer support, and/or office management preferred
